The following shows an example email that you could use to notify your players about the pending move to using ShuttleOps. Feel free to copy and edit as needed - for example, removing references to payments if you do not plan to use this feature.

Subject: Welcome to ShuttleOps – Our New Club Management System


Dear [Club Name] Members,

We’re excited to announce that we are moving to ShuttleOps, a new platform designed to simplify our club’s session management, player tracking, and payments. This transition will make it easier for everyone to stay informed and involved in our activities.


What You Need to Know

The app will be used to manage the club, and ensure that everyone gets a fair amount of time on court. We will be registering you as players within the system and this will automatically trigger an email confirming you've been added. You can follow the link within the email to register on the app however this is optional. We can still manage the club without you registering however if you choose to register, you’ll gain access to your personal stats, session history, and payment details.

All club sessions after the information has been added will then be managed through ShuttleOps, making it easier to track attendance and payments. If you have registered then you'll be able to configure your notification settings so that you only get the information you need and want, such as new session reminders or after session stats. 

If applicable, session fees will be handled within the platform, ensuring a hassle-free payment experience. You will need to configure a direct debit within the platform in order to do this. 


Next Steps

Starting from the week beginning [INSERT DATE] we'll start to add the players into the app, and as a result you’ll receive a welcome email. The session on [INSERT DATE] will be the first using the application with live data and so Iif you choose to register, you’ll be able to log in and explore your profile, sessions, and stats.
