Session Responsibilities Email

ShuttleOps is designed to be collaborative and it works best when all of your players get involved in helping to manage the courts. Due to the fact that the players allocated to a court are done based on logic any of your players can help to find the next game. As a result we recommend sending the club an email as part of the onboarding process outlining what you expect from your players, and how they can help ensure the session goes smoothly. An example of an email to send is below. 


Subject: ShuttleOps – Helping during sessions

Dear [Club Name] Members,


The appeal of an app like ShuttleOps is that it adds players to courts fairly, based on logic and data. This not only ensures that everyone gets a fair amount of game time but it also allows us to share responsibility for keeping the courts full with games. As a result we'd like to outline a few areas where you can help keep things running smoothly.


  • When you arrive at a session and are ready to play, please make sure you find the device managing the session and tick the box next to your name. Unless you do this you'll not get allocated to a court by the tool and the responsibility should be on you to "add your peg to the board". 
  • If you finish a game, please ensure that one of the players on court find the device and mark the game as finished. The app will ask who won and this is not something that other people know. 
  • If there are players already allocated to a virtual court, move those players to the court you've just finished on using the menu items. Announce clearly that your court is now free. 
  • Once you've finished the game, use the "Add players automatically" option to find new players to either add to the spare court, or to a virtual court if you are using this feature. 
  • Make sure that the players you've just added to the court know that they are up next by going to tell them. Use the profile avatar to help identify the player if you are not sure who is who. 
  • If you need to leave the session temporarily or early, it is your responsibility to find the device managing the session and remove yourself by clicking on the "left" icon. Likewise if you have returned to the session, please mark your availability otherwise you will not be allocated to other games. Do not rely on others to do this for you. 


If we all follow the same approach then court & game allocation can be effortless so that we can all enjoy the playing. The responsibility should not fall on one individual as they want to enjoy playing too!
