Once you’ve wrapped up a session, ShuttleOps will handle payments based on the tier your club is on. Here’s what to expect!
Finishing Sessions and Payment Timing
- Manually or Auto Finish: Sessions can be manually marked as finished via the menu on the Sessions page, or they’ll automatically close after their designated end time.
- Tier-Based Charging:
- Free & Lite Tiers: These tiers use a “pay-as-you-go” model, which triggers immediate charging for each session. This setup means slightly higher transaction costs per session.
- Standard Tier: Sessions for clubs on the Standard tier are charged monthly, bundling all player charges from the month into a single transaction. This consolidated approach minimises transaction costs and reduces the processing fees per player.
How Players Are Charged
After a session ends (either immediately or monthly, depending on tier), ShuttleOps calculates player fees based on your session settings:
- Cost Recovery: The total session cost is divided among attendees.
- Fixed Fees for Members/Non-Members: If you’re using member/non-member fees, each player will be charged a set fee based on their membership status.
- Subscriptions: Players with an active subscription in a Standard tier club are not charged per session.
Payment Collection and Reimbursement
Payments are processed through direct debit, which can take up to 7 days to complete. This requires players to have added payment methods to their account and if at time of billing there isn't any, then they will be emaile By the 8th of each month, ShuttleOps reimburses clubs for collected payments.
Tracking Transactions and Outstanding Payments
You can monitor all transaction activity, incoming and outgoing, via the Transactions page on the left-hand menu. Here’s what you’ll see:
- Recent Transactions: Each transaction appears in reverse chronological order.
- Outstanding Payments: Players without a saved payment method but who attended sessions will be listed here. An Outstanding Payments badge will also show in the menu, alerting you to pending payments.
- Marking Sessions as Paid: If a player has paid manually, you can mark their payment as complete in this tab.
